About the Role
The United Nations Office for the Coordination of Humanitarian Affairs (UNOCHA) is seeking a dedicated and experienced Executive Associate to join our dynamic team in Nigeria. OCHA is responsible for bringing together humanitarian actors to ensure a coherent response to emergencies, protecting the rights of people in need, and facilitating sustainable solutions. In this pivotal role, you will provide critical executive, administrative, and communication support to ensure the efficient functioning of the Head of Office (HoO). Key ResponsibilitiesThe Executive Associate will perform a wide range of duties under the direct supervision of the Administrative and Finance Officer, focusing on:
- Managing the HoO's calendar, coordinating high-level meetings, arranging appointments, and providing interpretation or meeting minutes when necessary.
- Drafting correspondence, directives, and briefing materials for the HoO, ensuring strict adherence to protocol procedures.
- Overseeing mission schedules, travel arrangements, and maintaining accurate contact rosters for high-level partners and stakeholders.
- Maintaining a secure, automated filing system for confidential materials and coordinating smooth information flow across the office and with the UN Country Team (UNCT).
- Screening incoming calls and correspondence, tracking deadlines, and following up on commitments made by the office.
- Facilitating knowledge building and management by contributing to communities of practice and organizing specialized staff training sessions.
Candidates applying for the Executive Associate position should meet the following requirements:
- A minimum of 4 years of progressively responsible administrative experience.
- Prior experience working in a front office or executive assistant role is highly desirable.
- Demonstrated experience working with the United Nations or other international organizations.
- Proficiency in using computers, office software packages (MS Word, Excel), and web-based management systems.
- Strong organizational, communication, and interpersonal skills with the ability to handle confidential information with discretion.
