About the Role

We are currently seeking a proactive and detail-oriented Executive Assistant to provide comprehensive support to our Managing Director. In this pivotal role, you will act as the administrative anchor for the executive office, ensuring seamless daily operations, effective communication, and efficient time management for leadership.

Key Responsibilities
  • Ensure efficient scheduling of meetings, appointments, and events for the MD, minimizing conflicts and optimizing time management.
  • Monitor, triage, and prioritize incoming emails, ensuring urgent matters are addressed promptly and routine communications are delegated.
  • Coordinate project activities, gather relevant data, and assist with general project management tasks to support executive initiatives.
  • Continuously evaluate and improve administrative processes to streamline tasks and conserve institutional resources.
  • Build and maintain strong, professional relationships with internal and external stakeholders, including board members, staff, clients, and partners.
  • Manage the general administration of the Executive offices and ensure optimal functionality of designated executive spaces.
  • Supervise and coordinate the activities of junior support staff and ancillary services dedicated to the executive office.
  • Prepare comprehensive reports, briefs, and presentations as assigned by the Managing Director.
Qualifications
  • Minimum of 2 years of proven experience in an executive assistant or similar administrative role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), note-taking, and professional report preparation.
  • Familiarity with collaboration tools such as Microsoft Teams and other modern workplace productivity software.
  • Exceptional verbal and written communication skills with strong presentation capabilities.
  • Strong analytical, strategic thinking, and problem-solving abilities.
  • Ability to work autonomously with minimal supervision as well as collaboratively within a team.
  • Relevant formal education from a recognized institution.
