We are currently seeking a polished, detail-oriented, and highly organized Executive Secretary to join our corporate headquarters in Nigeria.
Key Responsibilities- Manage and coordinate complex executive calendars, appointments, meetings, and comprehensive travel itineraries.
- Prioritize incoming meeting requests and ensure the Managing Director is adequately briefed and prepared for all engagements.
- Organize executive meetings, prepare board and management agendas, and take accurate meeting minutes for timely follow-up actions.
- Draft, edit, and format professional executive correspondence, memos, letters, reports, and official company documentation.
- Screen incoming emails, phone calls, and mail, routing inquiries appropriately and handling routine correspondence independently.
- Serve as a professional liaison between the Executive Office, internal departments, clients, contractors, and external partners.
- Maintain secure physical and digital filing systems for confidential executive documents, contracts, policies, and reports.
- Track the progress of executive directives, action items, and departmental reports to ensure timely completion.
- Coordinate travel arrangements, hotel bookings, and logistics for executive travel and corporate events.
- Manage office supplies, equipment, and administrative needs for the Executive Office suite.
- Maintain a polished, professional, and welcoming environment for high-profile visitors and guests.
- Bachelor's degree in Secretarial Administration, Business Management, English, or a related field.
- 4 to 5 years of proven experience providing secretarial or administrative support at senior management or executive levels.
- Advanced proficiency in Microsoft Office Suite including Word, Excel, PowerPoint, and Outlook.
- Fast and accurate typing skills with an exceptional command of business English, spelling, and grammar.
- Impeccable discretion, high emotional intelligence, excellent communication and interpersonal skills, strong organizational abilities, and rigorous attention to detail.
