About the Role
Join Stella Maris High School, a premier educational institution in Abuja's FCT, as Executive Assistant to the Executive Director. This strategic role involves providing comprehensive executive and administrative support, coordinating complex schedules, managing confidential communications, and ensuring seamless coordination between the Executive Director and internal and external stakeholders. You will be instrumental in driving operational excellence and supporting the school's mission of academic excellence combined with character development.
Key Responsibilities- Manage the Executive Director's calendar, schedule meetings, prevent conflicts, and prepare comprehensive agendas
- Capture executive instructions and convert them into tracked tasks with clear ownership and deadline management
- Draft executive correspondence, memos, and strategic communications requiring the Director's attention
- Maintain visibility across active projects, identifying pending items, bottlenecks, and decisions required
- Coordinate with staff, vendors, consultants, and stakeholders on behalf of the Executive Director
- Document critical decisions, instructions, and project information in appropriate company systems
- Conduct research on vendors, products, and services, delivering organised findings and recommendations
- Ensure meeting follow-through by capturing action items, establishing deadlines, and tracking completion
- Handle sensitive executive, personnel, and financial information with complete confidentiality and discretion
- Identify and escalate potential problems before they become emergencies
- Bachelor's Degree in Business Administration, Public Administration, Management, Communications, or related discipline
- Minimum 5 years' experience in executive-level administrative support
- Proven experience supporting C-suite executives (CEO, Executive Director, or Managing Director)
- Proficiency in Microsoft Office Suite, virtual meeting platforms, and document management systems
- Exceptional organisational, communication, and time management skills
- Strong attention to detail with ability to manage multiple competing priorities
- Professional certifications (CAP, PMP, CIPM, or MOS) are advantageous
- Experience in the education sector is desirable
